Data Retention Policy

Last updated: August 2026

Overview

Equusdata is designed to maintain data security and minimize the footprint of personal and operational information. This policy governs how long information is retained.

Inspection Data & Evidence

Safety inspection evidence (including uploaded photos) is securely stored to support compliance reporting and is retained to preserve historical audit continuity.

Retention length is configurable per organization and should reflect the regulatory and litigation-exposure requirements of the specific industry and jurisdiction your business operates in (for example, workplace injury recordkeeping, premises-liability limitation periods, or sector-specific inspection mandates). In the absence of an industry- or counsel-specified requirement, Equus defaults to a six (6) month retention window for inspection evidence, configurable via DATA_RETENTION_DAYS.

Organizations with specific compliance obligations should confirm an appropriate retention period with their insurance carrier, legal counsel, or industry regulatory body rather than relying on this default.

In practice, the most actionable starting point is your organization's general liability insurance carrier or broker — they can advise on a retention period tied directly to your actual claims exposure and applicable state statutes of limitations.

Account Data

User accounts are preserved for the lifespan of the organization's engagement with Equus. When an employee departs or is removed, the account is archived (soft-deleted) rather than permanently purged in order to preserve historical audit continuity.
